The Challenge

Kiran Parmar is an audit manager, and currently oversees a team of five people at TC Group, consisting of two seniors, one assistant manager, and two trainees. 

Kiran and his team were spending too much time on P&L transaction testing, particularly during peak periods. Manual testing was labour-intensive, requiring the copying of sample data from thousands of invoices.

Considerable support was required from seniors and managers when juniors were completing transaction testing, and this was limiting trainees’ exposure to more rewarding and productive balance sheet work. 

The manual nature of the sample testing work – the so-called ‘tick and bash’ that’s often a dreaded part of statutory accounting – also meant that inconsistent outputs were making reviews more difficult, whilst increasing the risk of data entry errors.

Kiran was looking for a product that focused on two things: structured format and the automation of invoice reading and matching. “If you show me a product where you can just upload invoices and rely on software to process and return results, in a structured, guardrail format, then that’s a massive positive,” he explains.

 

The Solution

TC Group implemented AuditBot to address three specific issues: the time drain of manual P&L testing; the risk of human error when juniors were keying and matching data; and the pressure on seniors and managers during busy periods.

“AuditBot isn’t just a time saver, either; it improves the quality of our reports as well. Based on the templates that AuditBot produces, we get the expected results in a format that’s easy to review and share.” says Kiran. 

Another area TC Group was able to address was the issue of incomplete audit samples, when auditors were waiting for access to all of the specific items that had been requested.

“Whilst waiting for sample information for Audit A, we can now be setting up Audit B, uploading account codes and the nominal ledger, getting the system calibrated and ready,” Kiran says.

AuditBot enables you to create a new audit in under two minutes. The software understands CCH, Iris, Silverfin and Caseware mapping, which means nominal codes are ingested automatically. And it automates the substantive testing that can be manually intensive on Excel: import your trial balance, upload your samples, review the results – it’s that simple.

 

The Results

AuditBot delivered cost and time savings for TC Group by automating its scanning and sample matching, where it was able to check documents such as invoices, receipts, and purchase orders, before checking them against the nominal ledger, and then formatting them into a results table.

“With AuditBot we saved up to eight hours on a standard sample size of 45-50 sales and purchases,” Kiran says. “And freeing up these hours means we can take on more work during peak periods.”

The time saved in automated matching, checking, and formatting, enabled juniors to provide support in other areas, such as balance sheet testing, which they otherwise wouldn’t have exposure to. This also increased overall audit capacity.

“We’ve found AuditBot particularly useful for sales and purchases, as it reduces the amount of handholding that’s required from seniors and managers.”

AuditBot standardised outputs across audit samples, reducing review time, and increasing manager confidence and data accuracy. And whilst Kiran was initially cautious about using tools that utilised AI, he put AuditBot through its paces by deliberately changing some nominal ledger entries to see if the tool caught them.

“I even tested it by adding intentional anomalous ledger entries, which it picked up every time,” Kiran explains. “You can trust the software to do a good job, and AuditBot provides me with the confidence that I need.”
